Information for Vendors

Applications are due by April 15, 2004.
Please take time to review the booth locations on the map and if you
have a preference, please indicate it on your application. The committee
will try to accommodate you when possible. Previous participation
in the Pungo Strawberry Festival as well as diversity in what you
offer will be considered in the selection process.
- No
electricity is available. Generators are allowed only in certain
areas of the Festival. Low noise units are mandatory. Indicate on the
application if you will be providing one. The festival has no generators
available.
- We
are required by the City of Virginia Beach to send them a list of all
vendors participating in our Festival. You may be subject to a business
license fee. We suggest you contact the Virginia Beach Commissioner
of the Revenue's Office at 757-427-4251 fax 757-426-5685
to see if you are affected. Please note that the Festival has no control
over decisions regarding this issue.
- Non-profit
organizations are defined as having an exempt status under section
501 of the Internal Revenue Code.
- Vendors
will be responsible for reporting their own taxes on items sold
or ordered. Virginia tax is 4.5%. Vendors possessing a tax number are
responsible for reporting their own taxes.
- Limited
parking will be available for vendors.
Two (2) vendor parking passes will be issued per vendor. Vendors located
in Strawberry Square, Strawberry Patch, Strawberry Row, Strawberry Boulevard,
and Strawberry Court can set up after 6:00pm on Friday, May 28. Vendors
in Strawberry field A & B can set up can set up after 10:00am on
Friday, May 28. All vendors must be set up by 8:30am Saturday, May 29.
Vendors are expected to for the two day duration of the Festival, and
must be set up each day by 8:30am and must remain in place until 7:00pm.
- Booth
construction is the vendor's responsibility and must be contained
within you're your assigned space Decorations must include the American
Flag furnished by the Festival, displayed appropriately, in honor of
Memorial Day. Assigned space numbers must also be displayed prominently.
Vendors should bring any tables or display units and related equipment
needed to display their work. In case of rain, we suggest that you bring
a sheet of plastic sufficient enough to cover your display area. Clean-up
of space is the responsibility of each vendor at the close of the Festival.
A space not cleaned will result in the vendor being billed for clean-up
services and their elimination from future participation.
- Any
merchandise bearing the Pungo Strawberry Festival logo
can be sold only by the Pungo Strawberry Festival and Major Sponsors
of the Festival (with prior approval). The Pungo Strawberry Festival
logo is a registered trademark and can be used only with approval of
the Festival Board of Directors.
- If
your club or group should desire to offer a raffle or giveaway
during the Festival, this must be specified on your application and
is subject to approval by the Festival Board. Raffles or giveaways are
limited to non-profit organizations only. You will be responsible for
securing all necessary permits from the City of Virginia Beach.
- The
Pungo Strawberry Festival reserves the right to request removal of items
which are deemed unsuitable to the theme of the Festival. ITEMS THAT
DISPLAY DRUG OR ALCOHOL SYMBOLS ARE NOT ALLOWED. Non compliance
with the regulations set forth in this document and on the application
may result in your removal from the Festival and may jeopardize your
chance to participate in future festivals.
- Vendor
fee includes ONE 10' X 10' space only (NO LARGER). Everything must
be confined to the allotted space. Example: If you have a 15' tent you
must reserve and pay for 2 10' X 10" spaces. The vendor areas are
on asphalt or grass and activities are restricted to the assigned space(s).
Roaming away from the assigned space to sell your items is strictly
prohibited.

Food
Information
- INSURANCE
INFORMATION: Product Liability Insurance ($1,000,000 for each occurrence
and $1,000,000 combined single limits) is required of all food vendors.
If your application is approved, we will require a certificate of insurance
indicating liability limits and naming PUNGO STRAWBERRY FESTIVAL as
additional insured. Your insurance certificate MUST be on file prior
to set-up.
A
HEALTH DEPARTMENT CERTIFICATE will be required for food booths. For
information call now.
- ICE,
SOFT DRINKS & BREAD: The Concession Committee will assign an
exclusive supplier for ice, soft drinks, and bread sales. For the protection
of our sponsors, all vendors must purchase these items from the on-site
exclusive supplier designated by the Festival. Deviation from this rule
may be made only with the expressed consent of the Festival Board. Exceptions
will be granted where the vendor requires a unique specialty item that
is not available from the exclusive supplier.
- WATER:
Adequate water is available on site. Only water obtained from sources
specifically identified by the Festival may be used for consumption,
hand washing and cleaning of food preparation items/equipment.

Industry Information
- ELIGIBILITY:
This category has been designed to accommodate the artisan who assembles
and/or incorporates commercially produced products in their work. If
you honestly can't claim that your work can be categorized as Arts &
Crafts (described above) and your work is not totally commercially manufactured,
you probably fall in this category. The Arts & Crafts Committee
has sole jurisdiction over this matter.
